- Choose a retention review process with the appropriate privacy owner.
Steps
Work through the method
Use the listed inputs and tools. Check the evidence when you need to verify a step.
Define the minimum record
Choose fields for account, contact role, source, buyer priority, promise, open question, decision state, next action, owner, due date, and source link. Remove unused fields.
Why it matters: A small field set keeps the record maintainable and exposes the missing facts needed for follow-up.
- Input
- The current sales process, privacy requirements, and recent call records.
- Output
- A field dictionary with access, correction, export, deletion, and retention owners.

Capture and verify the interaction
Associate the approved email, meeting, call, or note with the correct account and deal. Check the association and summarise only the fields needed for the next decision.
Why it matters: Automatic associations have exceptions and can place context on the wrong record.
- Input
- The interaction record and field dictionary.
- Output
- A checked activity record with minimal necessary context.

Why it matters: The record supports work only when the next action is specific and maintained.
- Input
- The checked interaction and current deal state.
- Output
- An owned task and a current account record.

Success checks
Check the result before you finish
- Every active account has a checked activity source and one next action.
- Promises and open questions are attributed to the correct person.
- Access, correction, export, deletion, and retention owners are recorded.
Failure modes
Watch for these problems
- Automation associates an activity incorrectly. Check the account and deal after import.
- The record becomes a free-text archive. Return to the minimum fields.
- A universal retention period is assumed. Obtain a policy decision for the actual context.
