Map and govern shared-component stock

Create one inspectable stock rule for products that consume the same material, with reservations and failure handling included.

Preparation
One catalogue mapping session and a controlled stock test.

Back to the Task: Control shared-component stock

Before you start

Get what you need before you start

  • Choose one shared component and every product that can consume it.
  • Count available stock and record open-order reservations, damaged stock, and safety stock.
  • Use an organisation-approved ChatGPT workspace. Before upload, remove names, contact details, addresses, payment data, credentials, and external order references from reservation records; keep any secure reconciliation key separately.
  • Identify the system and person authorised to change availability.

Steps

Work through the method

Use the listed inputs and tools. Check the evidence when you need to verify a step.

  1. Map component consumption

Create one row for every sellable variant that consumes the component. Record units consumed, substitutes, listing, location, current availability rule, and fulfilment evidence.

Why it matters: The map exposes selling paths that a shared-stock rule might otherwise miss.

    Input
Product variants, bills of material, locations, open orders, and maker knowledge.
    Output
A reviewed component-to-variant map with unresolved rows marked.

    Evidence for this step

  2. Choose the stock authority

Decide whether the real product fits Shopify Bundles, an approved component app, or a manual controlled process. Record reservations, update timing, locations, failure alerts, and the manual stop-sale owner.

Why it matters: A tool name does not resolve the operational rule for stock, reservations, and failures.

    Input
The component map, current platform documentation, app terms if applicable, and operating capacity.
    Output
A signed stock-control design with authority, formula, timing, exceptions, and fallback.

  3. Test stock boundaries

Set a safe test quantity, reserve it through representative products, cancel one order, adjust one component, and reach zero. Observe every affected listing and location after each event.

Why it matters: The sequence tests sale, release, adjustment, and stop-sale behaviour rather than one static number.

    Input
The approved design, test variants, safe inventory, and an event checklist.
    Output
An event-by-event test record with expected and observed quantities.

  4. Reconcile and assign exceptions

Compare physical stock, reserved stock, available stock, and listing availability after the test. Assign every discrepancy and define the recurring reconciliation.

Why it matters: A reconciliation catches drift before it becomes an accepted inventory figure.

    Input
Physical count, reservation list, platform quantities, test record, and discrepancy owners.
    Output
A reconciled opening balance, exception list, owner, and next check date.

Success checks

Check the result before you finish

  • Every affected sellable variant appears once in the component map.
  • The stock design states the authority, formula, reservations, update timing, locations, and fallback owner.
  • Sale, cancellation, adjustment, and zero-stock tests match expected quantities.
  • Physical, reserved, available, and listed stock reconcile before launch.

Failure modes

Watch for these problems

  • A product path is absent from the map. Stop launch and add it before testing again.
  • The bundle model changes how the product is sold or fulfilled. Reject that route and review another controlled design.
  • Cancellation does not release the component. Hold availability and repair the reservation rule.
  • A sync fails silently. Use the manual stop-sale route and investigate from the event log.
