- One period export and bookkeeper or accountant review.
- Difficulty
- Moderate
- Task
- Build a reconciled spend view
Before you start
Get what you need before you start
- Agree the period and established accounts with the bookkeeper or accountant.
- Gather the transaction detail and supporting records under approved access controls.
Steps
Work through the method
Use the listed inputs and tools. Check the evidence when you need to verify a step.
Export the period detail
Export the agreed transaction detail and record the period, filters, source system, and export time.
Why it matters: A defined source prevents a later total from mixing periods or filters.
- Input
- The books, agreed period, and export specification.
- Output
- A source-labelled period export.
Tools in this stepQuickBooks OnlineEvidence for this step
QuickBooks Online can export reports and lists to Excel and download customer statements.

Group spend by established account
Group recorded transactions by the existing accounts. Put unknown, personal, duplicate, and unsupported items in a separate queue.
Why it matters: A separate queue keeps uncertainty out of reviewed spend totals.
- Input
- The period export and current chart of accounts.
- Output
- Grouped spend and an exception queue.

Reconcile totals and request review
Tie grouped totals back to the books. Ask the bookkeeper or accountant to decide classifications and any burn calculation.
Why it matters: Professional review keeps reporting choices separate from mechanical grouping.
- Input
- Grouped spend, exception queue, and book totals.
- Output
- A reconciled view with reviewed and open items.

Success checks
Check the result before you finish
- The period and export filters are recorded.
- Grouped totals reconcile to the books.
- Every uncertain item remains in the review queue.
Failure modes
Watch for these problems
- New categories replace the established accounts. Ask the accountant first.
- Exceptions enter the reviewed total. Separate them.
- A burn figure is treated as universal. Use the accountant-approved definition.
