Trace a shipping-charge gap order by order

Produce an audited reconciliation that explains sampled gaps and supports one tested charging rule.

Back to the Task: Explain a shipping-cost gap

Before you start

Get what you need before you start

  • Choose a recent sample that includes the routes and services where the gap appears.
  • Use an organisation-approved ChatGPT workspace. Before upload, remove names, addresses, emails, phone numbers, payment data, credentials, and external order references; keep any secure reconciliation key separately.
  • Gather checkout charges, package assumptions, purchased labels, carrier adjustments, refunds, and currency data.

Steps

Work through the method

Use the listed inputs and tools. Check the evidence when you need to verify a step.

  1. Assemble one row per shipment

Join each sampled shipment to its checkout charge, package, measured weight, dimensions, origin, destination zone, service, label price, later adjustment, refund, and currency.

Why it matters: The checkout amount and fulfilment cost become comparable only when they describe the same shipment.

    Input
De-identified order, package, label, adjustment, and rate-setting records.
    Output
A shipment-level table with source references and missing fields visible.

    Evidence for this step

  2. Classify each observed difference

Compare collected and paid amounts. Assign only supported drivers such as package mismatch, service difference, rate condition, surcharge, adjustment, refund, currency, or unknown.

Why it matters: A fixed driver list prevents an unexplained difference from becoming a confident story.

    Input
The shipment table, current shipping rules, carrier invoices, and a driver glossary.
    Output
An explained-difference column with evidence links, review flags, and Unknown where needed.

    Evidence for this step

  3. Approve the next charging rule

Review the repeated supported drivers and choose a rule the store can explain and operate. Record affected routes, exclusions, owner, review date, and rollback trigger.

Why it matters: The sample supports a store decision, not a universal shipping margin.

    Input
The reviewed reconciliation, operating constraints, customer promise, and available rate controls.
    Output
A signed policy decision with scope, rationale, exclusions, owner, and rollback trigger.

  4. Test representative carts

Run carts at package, value, weight, service, route, and free-shipping boundaries. Compare the displayed amount with the approved rule and document live-carrier uncertainty.

Why it matters: Boundary tests catch abrupt rate changes before the policy reaches more buyers.

    Input
The approved rule and a test matrix drawn from the reviewed sample.
    Output
A passed test sheet or a blocked launch with precise failing cases.

Success checks

Check the result before you finish

  • Each sampled shipment connects the checkout charge to the actual purchased label and later adjustments.
  • Every explained gap has inspectable evidence and unsupported rows remain Unknown.
  • The approved rule lists routes, services, exclusions, ownership, and a rollback trigger.
  • Representative boundary carts match the approved rule or block launch.

Failure modes

Watch for these problems

  • Order and label records describe different parcels. Rejoin them at shipment level.
  • The model guesses why a carrier adjusted a charge. Restore Unknown until the invoice supplies the reason.
  • An average hides one costly route. Review differences by route, service, and package.
  • The new rate surprises a boundary cart. Keep the old rule and revise the policy.
